Administrative Assistant – Project Management Department (Bahrain National)
Reports to : Vice President, Project Management
Location : Bahrain
Role Purpose:
Provide comprehensive administrative and coordination support to the Project Management leadership team, ensuring smooth day-to-day operations across the department. The role requires a proactive and organized individual who can handle multiple priorities, maintain confidentiality, and support vice president and managers in their daily tasks.
Key Responsibilities:
• Provide direct administrative support to the Vice President and department managers.
• Manage calendar scheduling, meeting coordination, and room bookings.
• Handle IT service requests, access requests, HR requests, and related ticket tracking.
• Coordinate overtime submissions, timesheets, and related documentation.
• Support internal communications, departmental announcements, and logistics.
• Arrange catering, events, and meetings (in-person and virtual).
• Maintain organized filing systems and ensure proper document management.
• Follow up on delegated tasks, action items, and pending approvals on behalf of the VP.
• Liaise with HR, IT, and Supply Chain departments on administrative matters.
• Assist in organizing workshops, training sessions, and departmental activities.
• Assist in taking Minutes of Meetings in important meetings when needed.
• Assist in preparing presentation slides and reports.
Qualifications and Experience:
• Minimum 5 years of experience as an Administrative Assistant or similar role.
• Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Excellent communication and organizational skills.
• High attention to detail, with the ability to manage multiple priorities.
• Professional demeanour with discretion when handling confidential matters.
• Experience in a corporate or technical (oil & gas or industrial) environment is an advantage.

• English: Proficient
• Arabic: Native
