Position Summary:

 

Plan and direct all accounting, administrative and project status activities on assigned project.  Manage the on-site admin staff in the functions of timekeeping, HR administration and processing, payroll, and general project support and reporting.

 

Duties and Responsibilities:

 

  • Manage and supervise assigned administrative staff responsible for on-site HR, timekeeping and payroll.
  • Prepare and maintain various reports as necessary to support project construction activity. To include Force reports, man hour reporting, head count, crew matrix/mix, Subcontractor personnel tracking and time sheet verification, etc.
  • As directed by the project manager, manage any required reports/communications for the client.
  • Direct all personnel administration activities on project including but not limited to: recruiting, hiring, new hire processing, employee orientation, records management, employee assistance, terminations/exit forms, PTO tracking, HRcules management, time entry and payroll.
  • Organize and allocate responsibilities for timekeeping, HR, and payroll among staff according to appropriate skill sets and most efficient processes.
  • Hold staff accountable for processes according to company and system requirements (HRcules for electronic recruiting and hiring, Kronos, ADP, etc.)
  • Collaborate with HRBP and Recruiting for recruiting, hiring, processing, and employee relations issues. Work with HRBP an ALL counseling/disciplinary issues.
  • Collaborate with accounting/payroll for any timekeeping and payroll related issues. Hold staff accountable for time entry accuracy before payroll close.
  • Provide support for overall project and other project departments on projects to assist in their administrative needs (e.g., Accounts Payable, Phase code reports, change order tracking, force reports, MVR requirements, drivers log, TWIC and Safety Council status, IT and office equipment needs, office supplies, etc.)
  • Perform additional assignments as directed by Project Manager and Project Director.

 

Basic Qualifications:

 

  • Business/accounting degree OR: four years minimum construction office management experience or equivalent combinations of training and experience.
  • Experience on a field site is required.
  • Extensive knowledge of typical project procedures and reporting, company policies and procedures, purchasing and receiving procedures, cost control, and office administration required.
  • Proficient communication and organizational skills essential. 
  • Strong people manager who will hold staff accountable to deadline-driven results.
