Office Administration Manager

The Role

Responsible for overseeing the day to day running of the office administrative activities that facilitate the smooth running of the office, organising people, information and other resources. Providing comprehensive support to the wider Project Team, assisting in daily office needs and managing general administrative activities.

 

Key Responsibilities will include:

  • Support the Managers within the business as well as the office staff
  • Support the sites ensuring ECITB recovery, employee training and E-Learning are completed
  • Provide Admin support to Regional Management Team
  • Answer and direct any incoming phone calls – this may by Microsoft Teams
  • Understand the time writing, project buyer procedures and roles to  maintain the required standard and to back fill junior positions when required
  • Develop and maintain a filing system
  • Liaise with Document Control
  • Organise and schedule appointments
  • Plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Maintain office policies and procedures
  • Order office supplies
  • Maintain contact lists
  • Book travel / meetings arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Manage the site office facility, liaise with BUK Facilities manager and suppliers/maintenance team

 

Desirable criteria:
·  Proven experience as senior administrative assistant or office manager

·  Knowledge of office management systems and procedures

·  Working knowledge of office equipment

·  Proficiency in MS Office (MS Excel / Word and MS PowerPoint, in particular)

·  Excellent time management skills and the ability to prioritise work

·  Strong attention to detail

·  Excellent written and verbal communication skills

·  Strong organisational skills with the ability to multi-task
